A product launch invitation should name the product or describe the reveal, explain why the audience should attend, make the event times clear, and give one clear next action. State arrival and presentation or reveal times separately when they differ. Vague hype, invented demand and scarcity lines you cannot back up all cost credibility at the next launch.
These product launch invitation examples from Greenvelope cover four audiences: press, invited customers, partners and clients, and the general public. Our corporate event invitation wording guide covers the wider occasion set; this page goes deeper on launches. Product details in this guide were checked against Greenvelope's help center on October 22, 2026.
A Short Launch Invitation You Can Adapt
If you only need card wording, this covers the essentials; the longer examples below follow the same skeleton.
[Company name] invites you to the launch of [Product name].
Be there for the first demonstration and meet the team behind it.
[Day], [Month D, Year]
Doors at [arrival time], presentation at [presentation time]
[Venue name], [City]
Please RSVP on this invitation by [RSVP deadline].
If the date is set but the details are not, an earlier save the date does that job; the wording lives in our corporate save the date wording guide and business save the date email templates.
Match the Audience, the Format and the Reply You Need
Decide first what a reply is meant to produce; that decision shapes the closing line more than anything else on the card.
| Audience | Event format | Primary reply action |
| Press and analysts | Preview and briefing before the public reveal | RSVP with attendee names by a stated date |
| Invited customers | Hands-on demonstration session | RSVP to hold a place, or state a time preference the organizer confirms |
| Partners and clients | Reception with a scheduled reveal | RSVP and name any colleague attending |
| General public | Open demonstration or launch event | Register through a public link |
Each full example below includes a suggested email subject line. The subject line belongs to the email that delivers the card, not to the designed invitation itself.
Press Preview Invitation Wording
Address a press preview invitation to the outlet or journalist by name, and keep the guest list private. Give the arrival window and the presentation start separately, and name a person reporters can reach.
Suggested email subject line: Press preview of [Product name], [Month D] in [City]
[Company name] invites [Outlet or guest name] to a press preview of [Product name].
[One sentence on what the product does and why it matters to this outlet's readers].
[Day], [Month D, Year]
Check-in and coffee from [arrival time]
Presentation and hands-on time [start time] to [end time]
[Venue name], [Street address], [City]
[Spokesperson name and title] will present, and the team will stay for questions and time with the product.
Images, specifications and interview requests: [Press contact name], [email], [phone].
Please RSVP on this invitation by [RSVP deadline] with the name of everyone attending so we can arrange building access.
Optional embargo sentence, if one has been agreed: "Coverage is embargoed until [time] on [date]; please confirm with [press contact] if that timing does not work for you." Arrange and confirm embargo expectations with each outlet through your press contact, rather than relying on the invitation to carry them.
Invited Customer Demonstration Invitation Wording
The one thing a demo invitation must make unmistakable is whether a reply holds a seat at a scheduled session or starts a scheduling conversation. Say which in the closing line, and describe what guests will actually get their hands on.
Suggested email subject line: See [Product name] in person, [Month D]
You are invited to a hands-on demonstration of [Product name].
[Audience benefit: what this product changes for someone in the guest's role].
[Day], [Month D, Year]
Arrive from [arrival time]; the walkthrough begins at [demo start time] and runs to [end time]
[Venue name or office address], [City]
[Light lunch provided / Refreshments served]
During the session you can try [capability one], [capability two] and [capability three], and bring questions about [common use case]. Our [role, for example solutions] team will be at each station.
Your RSVP on this invitation reserves a place at this session. Please RSVP by [RSVP deadline]. Questions: [monitored email address].
Alternative closing, when you are scheduling individual appointments instead of one session: "Choose your preferred time in the RSVP questions, and we will email you to confirm your appointment."
A time preference submitted through an RSVP question is a request until the organizer confirms it. In Greenvelope, preference questions are added at Details, then RSVP Page, then Survey Questions; they appear after a guest selects a response status, as a dropdown, radio buttons, checkboxes or a write-in box. There is a fuller walkthrough in our guide to custom RSVP questions.
Partner and Customer Launch Reception Invitation Wording
Three details decide how quickly a reception invitation gets answered: the arrival time, the reveal time and the colleague policy. State all three on the card rather than in a follow-up.
Suggested email subject line: [Company name] launch reception for [Product name], [Month D]
[Company name] invites you to the launch of [Product name].
[Day], [Month D, Year]
Doors and welcome drinks from [arrival time]
Reveal and remarks at [reveal time]
Demonstrations and networking until [end time]
[Venue name], [Street address], [City]
[Attire, for example business attire] | [Canapes and drinks served]
[One sentence on why this audience is invited: the partnership, the pilot, the problem the product solves for them].
This invitation admits you and one colleague. Please add your colleague's full name when you RSVP so we can prepare badges and share the list with building security.
Please RSVP on this invitation by [RSVP deadline]. Questions: [Host name], [monitored email address].
In Greenvelope, those colleague names come from the plus one settings rather than an extra question: set each guest's allowance, then choose to collect the companion's details, or to require them when badges or seating depend on having every name. An allowance is permission to bring someone, not an attendance count, so the expected headcount stays the guests confirmed attending plus the additional guests recorded in their RSVPs.
Public Product Demonstration and Launch Event Wording
A public launch invitation has to work for someone who finds the link on social media as well as for an invited contact, so state the registration policy plainly. The example below requires registration.
Suggested email subject line: [Product name] launch day: demos, [Month D], [City]
[Company name] is showing [Product name] in public for the first time, and everyone is welcome.
[Day], [Month D, Year]
Demonstrations run continuously from [start time] to [end time]
Short presentations at [time] and [time]
[Venue name], [Street address], [City]
What you can try: [capability one], [capability two], and a walkthrough with the team who built it.
Please register at [registration link] by [registration deadline].
Questions: [monitored email address or phone number].
Alternative closing, when registration is optional: "Register at [registration link] so we can plan numbers, or come along on the day. If a presentation is full when you arrive, the next one starts at [time]."
Where there is no guest list, Greenvelope offers a public registration link, created at the Send step; guests register and reply through it, and you can switch it off at any time. Sharing a public link does not, by itself, identify everyone who received it or show who has not responded, and no line on the card should guarantee admission or state a capacity you have not actually set.
What Kind of Reply Are You Asking For?
Three different things get loosely called signing up. Match the closing line to the one you actually need.
| Response you need | Closing line to use | What to remember |
| RSVP on the invitation | Please RSVP on this invitation by [date] | Responses and survey answers collect on the mailing's Track step |
| Time preference for a demo | Choose your preferred time in the RSVP questions, and we will email you to confirm | A preference needs separate confirmation from the organizer before it is an appointment |
| External registration | Please register at [registration link] by [date] | The link is the whole action; it does not, by itself, import or synchronize registrations from the external platform |
In Greenvelope, RSVP functionality comes with invitation packages; save the dates, announcements and cards cannot accept RSVPs. When registration happens on another platform, make that link the primary action and do not ask guests to complete a second RSVP: send the designed card as an announcement, or turn off the RSVP on an invitation. Virtual events with joining instructions are covered in our webinar templates guide, and guest-list reporting in our corporate RSVP tracking guide.
One Launch, Two Invitations: An Illustrative Example
A morning press preview and an evening reception need different invitations even when they share a product, a venue and a date. Every detail is illustrative, including the company, product, venue, address and contact information; the wording is finished so the differences show side by side.
Morning press preview. Suggested email subject line: Press preview of the Harborline Model One, March 11 in Seattle
Harborline Audio invites you to a press preview of the Model One, our first speaker with room-adaptive sound.

The Fairweather Room, 142 Harbor Avenue, Seattle
Images, specifications and interview requests: Dana Reyes, Harborline communications, press@example.com.
Please RSVP on this invitation by March 4 with the names of everyone attending.
Evening reception. Suggested email subject line: Harborline launch reception for the Model One, March 11
Harborline Audio invites you to the launch of the Model One.
Thursday, March 11, 2027
Doors and welcome drinks from 6:00 p.m.
Reveal and remarks at 7:00 p.m.
Demonstrations and networking until 9:00 p.m.
The Fairweather Room, 142 Harbor Avenue, Seattle
Business attire
Please RSVP on this invitation by February 25.
The press copy sells relevance to readers and leads with the presentation time; the reception copy leads with the shape of the evening. The two are separate mailings, each collecting its own RSVPs, so a yes to the reception does not add anyone to the morning preview; a guest invited to both replies to each separately.
Reminders and Day-Of Updates
Keep two reminders apart: RSVP reminders go to contacts who have not yet responded, and event reminders go to contacts whose status is attending. In Greenvelope you can send or schedule both from the Track step under Set or Edit Auto-Reminders.
A short nudge for guests who have not responded:
RSVPs for the [Product name] launch close on [RSVP deadline]. Please RSVP on this invitation either way so we can plan the final count.
And the day-of note for confirmed guests. Suggested email subject line: [Product name] launch, [Day]: doors [arrival time], reveal [reveal time]
We are looking forward to seeing you on [Day], [Month D].
Doors open at [arrival time] on [floor or room], and the reveal begins at [reveal time].
[Venue name], [Street address]. [Parking or transit note]. [Check-in detail, for example your name will be on the list at reception].
Demonstrations run until [end time].
If your plans have changed, update your RSVP through your invitation link or email [monitored address] so we have an accurate count.
For individual follow-up, Greenvelope's Message Center sends a message by email or SMS to the guests you select, so a guest with a supported mobile number can get a targeted text update. For a contact with no email address, the personalized card itself can be delivered by text message, or its guest-specific link shared through WhatsApp or Facebook with that guest only.
Pair the Wording With a Design, Then Preview It
Two designs in Greenvelope's business collection suit launch work in different registers. Offset Grid by Claudia Owen sets script typography and serif lettering on a warm golden textured background. Metallic Brush Stroke by Stacey Meacham Design, llc puts a champagne gold brushstroke accent on a navy blue background, a fit for an evening reception. Both sit in the business invitation collection.
A practical next step: open a design, paste in the example for your audience, replace every bracketed placeholder, and make sure the arrival time and any scheduled presentation or reveal time are clear, labeled separately when they differ. Then preview the card and send a test to yourself before the list goes out. If the event around the invitation still needs planning, our launch party guide covers the venue, agenda and entertainment side.

Frequently Asked Questions
What should a product launch invitation include?
Name the product or describe the reveal, say why this audience is invited, and give the full date with the arrival time and the presentation or reveal time stated separately when they differ. Add the venue and address, then close with one reply instruction and a deadline. Attire, food and a monitored contact belong on the card when they affect what a guest plans for.
How do you word a press preview invitation?
Address it to the outlet or journalist by name, and keep the guest list private. State check-in and presentation times separately, say who presents and what will be available on the day, name a press contact with an email address and phone number, and ask for the names of everyone attending by a stated date so building access can be arranged.
How far in advance should you send a product launch invitation?
Plan on four to six weeks ahead for most product launches, with more notice when guests are traveling, when the date sits in a busy season, or when press schedules need booking. Treat that as a planning guideline rather than a rule, and set the reply-by date far enough before the venue or caterer's final count to leave room for follow-up.
How do you invite customers to a product demo?
Decide whether you are inviting people to a scheduled session or scheduling individual appointments, then say so in the closing line. Describe what guests can try during the session. On Greenvelope, a preferred time can be collected through an RSVP survey question, and the organizer then confirms each appointment separately; a submitted preference is a request until it is confirmed.
How do guests register for a public launch event?
Greenvelope offers a public registration link, created at the Send step, that can be posted anywhere and switched off when registration closes; guests register and reply through it. A public link does not, by itself, identify everyone who received it or show who has not responded. Use guest-specific invitations for known contacts when you need to track who has not replied, and use the public registration link for broader promotion.
How do you remind people who have not replied to a launch invitation?
Use Greenvelope's RSVP reminders, which go to contacts who have not yet responded, and keep them apart from event reminders, which go to contacts whose status is attending and carry the day-of logistics. Both can be sent or scheduled from the Track step under Set or Edit Auto-Reminders, and the Message Center can send a targeted follow-up message by email or SMS to guests you select.
