RSVP Tracking

Which Invitation Platforms Let You Export RSVP Responses and Meal Choices to a Spreadsheet?

See which invitation platforms export RSVP responses and meal choices to Excel, CSV, or Google Sheets, what each file holds, and how to hand a caterer a clean count.

Greenvelope, RSVPify, Zola, Joy, Partiful, Evite, and Punchbowl all document a way to download your guest list and RSVP responses as a spreadsheet file, and Google Forms sends replies straight to a Google Sheet; the differences are in what the file holds. On Greenvelope, the download on the Track step gives you the guest list and every RSVP as an Excel or CSV file, and the answers to the survey questions on your RSVP page, such as a meal choice or a dietary note, are saved to each guest's record and export with the full set. Zola describes exporting meal choices, and Partiful describes exporting questionnaire answers. RSVPify documents registration-data exports, and Joy documents guest-list CSV exports; confirm the question fields included in those files before relying on them for meal totals. The documentation reviewed for Evite and Punchbowl describes an RSVP status export but does not describe poll or question answers in the file.

This comparison is published by Greenvelope. Provider claims below are based on each provider's published documentation, reviewed on November 2, 2026, and linked in the sources section. Where a provider's documentation does not describe a detail, this guide says so rather than concluding the feature is missing. We have not run a hands-on side by side test, so confirm current details with each platform before you commit.

At a Glance

  • This guide's recommendation: Greenvelope, whose Track step downloads the guest list and every RSVP to Excel or CSV, with survey question answers (meal choice, dietary notes, which events a guest will attend) saved on each guest's record and exported with the full set
  • Column picker and filters: RSVPify exports all registration data to Excel, lets you choose the columns, and filters the rows, for example to guests who have not replied
  • Wedding sites: Zola exports RSVP entries as a .csv or Excel file from its Track RSVPs page on a desktop computer and mentions meal choices in that export; Joy exports a guest-list CSV, and its guest list shows one column per RSVP question, so confirm those columns are in the file
  • Casual parties: Partiful exports a CSV from the guest list with the RSVP types you choose, and questionnaire answers download the same way; Evite and Punchbowl export the guest list with RSVP status from the website
  • Forms: Google Forms can save responses to a linked Google Sheet, which fits an invitation that carries a form link rather than a built-in RSVP
  • The deciding detail is whether the answers to your questions sit in the same file as the RSVP status; if answers arrive in separate files, check whether they share an identifier you can use to match each response to the correct guest

What Exporting RSVPs to a Spreadsheet Actually Covers

Four different things travel under "export to a spreadsheet," and a platform can offer one without the others.

The first is the RSVP status export: a file that lists guests and their recorded responses; contact fields, household details, and row structure vary by provider. The second is the question export: the answers guests gave to your custom questions, such as an entree choice, a dietary restriction, or which parts of a wedding weekend they will attend, in the same file as the RSVP status. The third is selection: whether you can choose the columns or filter the rows before you download, for example to pull only the guests who have not replied. The fourth is access: whether the export lives on the website only, whether it needs a desktop computer, and whether it is available before the invitation has been sent.

Two details decide how useful the file is. One is the format: a CSV can be opened in Excel, Google Sheets, or Numbers, and a linked response sheet can receive new form submissions, while a downloaded file is a snapshot. The other is timing: a reply that arrives after you download is on the platform and not in the file.

RSVP Spreadsheet Exports Compared Across Eight Platforms

Greenvelope's export is the row to measure the others against: one download from the Track step with the guest list, every RSVP, and the survey answers. Based on provider documentation reviewed on November 2, 2026. "Not described" means the provider's documentation reviewed for this guide does not cover it, not that the feature is unavailable.

How Exporting RSVPs Works on Greenvelope

On Greenvelope, the export is the last step of a flow that starts with the questions you put on the RSVP page. Open the Details step, click the RSVP Page section, and click Add a New Question in the Survey Questions section (see adding custom questions to an RSVP). The question formats are dropdown, multiple choice, checkbox, and write-in, so an entree question is a multiple choice list of the dishes, a dietary question is a write-in, and a question about which events a guest will attend is a set of checkboxes. Questions appear after a guest selects an RSVP response, and survey questions can use tags to show certain questions only to specified guests. Add known partners and children as named household members. The person completing the RSVP records a separate attendance response for each named guest; if you need each companion's entree, add a write-in question asking the responder to list each attending guest's name and entree.

As replies come in, the Track step records every response, and the tabs filter the list by RSVP status. A reply you take by phone or in the hallway goes in through the manual RSVP update on the Track page. Every custom question answer is saved to the guest's record and appears alongside their RSVP status, so the meal choice stays attached to the person who chose it.

To download, click the Track step and click the download icon at the bottom of the guest list (see Download or Export Your Guest List and RSVPs to Excel or CSV). The file holds your guest list and every RSVP, with the survey answers, in Excel or CSV, so you have a copy to hand to a caterer, a venue, or anyone else who needs the numbers outside your account. Treat it as an export rather than a live link: check the columns against what your caterer or venue asks for, and download again if replies arrive after your first copy. The Send step has its own download icon for the mailing list itself, including any custom contact fields, if you need the contacts without the responses.

Keep Greenvelope as the current RSVP record and create a fresh export whenever you need updated totals. Business accounts that run events from a CRM can use Greenvelope's Microsoft Dynamics integration to import contacts and sync RSVP data back, which is a different tool from the export.

Send by email or by text message in supported countries. Paid accounts start with 500 text messages, with more available to purchase (see sending by text message). Single mailings start at $19 for a guest list of up to 20 people, with pricing based on list size and no subscription required; see our cost guide for every plan. A trial send to up to 10 people needs no credit card.

One Company Holiday Dinner, From RSVP Questions to the Caterer's Spreadsheet: An Illustrative Example

Priya, the office manager at a 70-person firm, uses Greenvelope to collect RSVPs for a company holiday dinner on Thursday, December 10, 2026. The caterer needs the final count and the entree totals by Monday, December 7, so she sets the RSVP deadline for Friday, December 4, which leaves a weekend for follow-up. She starts with 77 people on her Greenvelope guest list: employees plus the partners they named, each entered as a named household member so the reply records a separate attendance response for each person. She sends the Scattered Sprigs invitation by Owl and Toad and adds three survey questions to the RSVP page: a multiple choice entree question (chicken, salmon, or vegetable risotto), a write-in question for dietary notes, and a write-in question asking anyone replying for a partner to list that person's name and entree.

  • Tuesday, November 3: she builds the guest list, previews the invitation, sends herself a test, reads it on her phone, confirms the guest list and reply-to address, tests the links and calendar details, and uses Schedule Send for Friday, November 6 at 9 a.m.
  • Thursday, November 5: she adds three new hires, bringing the guest list to 80 people; because Schedule Send delivers to all unsent contacts at the set time, they receive the invitation on Friday with everyone else.
  • Monday, November 9: Delivery Optimizer resends the invitation to guests who have not opened it, three days after the send, skipping anyone who opened or responded.
  • Friday, November 27: one week before the deadline, she sends an RSVP reminder email to the guests who have not replied.
  • Friday, December 4: a brief final reminder email goes to the remaining non-responders on the deadline; one phone-only guest gets a text through the Message Center asking her to reply on the invitation.
  • Saturday, December 5: Priya sends one personal follow-up to each remaining non-responder, asking for a reply by 5 p.m. on Sunday, December 6, and stating that the count goes to the caterer on Monday. She records two confirmed verbal replies through the manual RSVP update on the Track page.
  • Monday, December 7, 8 a.m.: she opens the Track step, clicks the download icon, and opens the Excel file. She filters the exported responses to guests marked attending, checks that every attending person has one recorded entree choice, resolves any missing or ambiguous partner answers, and totals the meals. She sends the caterer the fields it asked for, keeping the dietary notes attached to the relevant names.

Her expected headcount based on RSVPs, and the entree totals, looked like this on the morning of December 7 (illustrative):

CountAt the deadline (Dec 4)At export (Dec 7)
People on the guest list8080
Attending6165
Declined1215
No reply70
Chicken2830
Salmon1921
Vegetable risotto1414
Dietary notes (write-in)45

Priya checks the meal assignments before totaling them. The three entree totals equal the attending count on both dates, and the dietary notes belong to guests already counted in those meal totals. The dates and numbers are illustrative.

Which Platform Fits Your Export

  • You need the RSVP status and the meal choice in one file, from a designed invitation: Greenvelope, where the survey answers export with the guest list and RSVPs from the Track step. For a wedding managed on a Joy website, Joy's guest list shows one column per RSVP question; confirm the columns in its CSV before you rely on it.
  • You want to choose columns and pull only the guests who have not replied: RSVPify documents a column picker and row filters on its Excel export of registration data; confirm your meal question is among the columns.
  • Your wedding RSVPs live on a Zola website: Zola's Track RSVPs page exports a .csv or Excel file of all RSVP entries, from a desktop computer.
  • A casual party where guests already use Partiful: its Guest List exports a CSV with the RSVP types you pick, and questionnaire answers download the same way; ask for full names in the questionnaire if you need them.
  • A simple list of who said yes and no, with party size: Evite and Punchbowl both export the guest list with RSVP status from the website; neither describes question or poll answers in the file.
  • Replies come through a form link rather than a built-in RSVP: Google Forms can save every answer to a linked Google Sheet you can share with the caterer, and you keep the guest list elsewhere.

Frequently Asked Questions

Which invitation platforms let me export RSVP responses and meal choices to a spreadsheet?

Greenvelope downloads the guest list and every RSVP to Excel or CSV from the Track step, and the answers to your survey questions, such as a meal choice, are saved on each guest's record and exported with the full set. Zola describes exporting meal choices and Partiful describes exporting questionnaire answers; RSVPify documents registration-data exports and Joy documents guest-list CSV exports, so confirm the question fields in those files; Evite and Punchbowl document a guest list export with RSVP status; Google Forms can save responses to a linked Google Sheet. Details are based on documentation reviewed on November 2, 2026.

How do I export RSVPs from Greenvelope to Excel or CSV?

On Greenvelope, click the Track step, then click the download icon at the bottom of the guest list and choose Excel or CSV. The file holds your guest list and every RSVP, so you can hand it to a caterer, a venue, or anyone else who needs the numbers outside your account. Download it again if replies arrive after your first copy.

Are meal choices and other RSVP question answers included in the Greenvelope export?

On Greenvelope, yes. Every answer to a survey question on the RSVP page is saved to that guest's record and appears alongside their RSVP status, and you can export the full set whenever you need it. Add the entree as a multiple choice question and dietary needs as a write-in so each answer lands on the right guest's row.

Can I export only the guests who have not replied?

On Greenvelope, you can send or schedule RSVP reminder emails to guests who have not replied, and the Track tabs show non-responders on screen. To isolate non-responders in a downloaded file, filter by RSVP status in your spreadsheet. RSVPify documents a filtered export from its Invitees list using a "no reply yet" filter.

What file format do RSVP exports use?

On Greenvelope, Excel or CSV. Zola documents .csv or Excel, Joy and Partiful document CSV, RSVPify documents Excel, and Google Forms can save responses to a linked Google Sheet. Evite and Punchbowl do not name the format in the help articles reviewed. A CSV opens in Excel, Google Sheets, or Numbers.

When should I export RSVPs for the caterer?

Make the final export after your follow-up with non-responders and early enough to check it before the earliest caterer or venue final-count deadline. Set your RSVP deadline a few days before that deadline. Reconcile attendance, meal totals, and dietary notes, then download again if responses change.

Is a spreadsheet export the same as a caterer or CRM integration?

No. Greenvelope's Excel or CSV export is a downloaded snapshot that stops updating the moment you save it, while its Microsoft Dynamics integration imports contacts and syncs RSVP data back. Confirm the columns and format your caterer needs before sharing a file.
